Terms & Conditions – SET Academy

These Terms & Conditions set out the agreement between SET Academy (“we”, “our”, “us”) and participants/parents or guardians (“you”) when booking and attending our coaching sessions. By booking a course, session, or programme, you agree to the following:

1. Bookings & Payments

All sessions are booked as a course/block unless otherwise specified.

Bookings are only confirmed once full payment has been received.

Places are allocated on a first-come, first-served basis.

2. Cancellations & Refunds

More than 7 days before course start: full refund available if requested.

Within 7 days of course start: no refund.

After course begins: no refunds for missed or unattended sessions.

Accidental payments or duplicate bookings must be reported immediately to: setacademycoaching@gmail.com

3. Session Changes & Cancellations by SET Academy

Sessions may occasionally be cancelled or rescheduled due to:

Weather conditions

Coach illness

Other circumstances beyond our control

Where possible, a replacement session will be arranged.

If a replacement session is not possible, a refund will be issued for the cancelled session.

4. Player Progression

Coaches will advise when a player is ready to progress between stages (e.g., Red → Orange → Green → Yellow).

Placement decisions are made in the best interests of the player’s development.

5. Safety & Behaviour

Parents/guardians must remain on site for children under 8 unless otherwise agreed.

Participants are expected to demonstrate respect, good behaviour, and sportsmanship at all times.

SET Academy reserves the right to remove a participant from a session or course if behaviour is deemed unsafe or disruptive.

6. Health & Responsibility

You must inform coaches of any relevant medical conditions or injuries prior to participation.

Participants take part at their own risk, and SET Academy cannot accept responsibility for personal injury unless caused by our negligence.

SET Academy is not responsible for loss or damage to personal belongings.

7. Media Consent

Photographs or videos may occasionally be taken for coaching or promotional purposes.

If you do not wish your child or yourself to be included, please inform us in writing.

8. Data Protection

Personal information provided to SET Academy will be handled in line with GDPR and will only be used for coaching, communication, and safety purposes.

9. Agreement

By booking with SET Academy, you confirm that you have read, understood, and agree to abide by these Terms & Conditions.

10. Minimum Numbers & Course Viability

SET Academy reserves the right to cancel or amend a course if minimum participant numbers are not met.

In such cases, a full refund will be provided, or an alternative course offered.

11. Substitute Coaches

In the event of illness, absence, or unforeseen circumstances, SET Academy may provide a substitute coach.

Sessions will continue as scheduled where possible.

12. Liability Waiver

SET Academy accepts no responsibility for injuries, loss, or damage sustained during sessions except where caused by proven negligence.

Participants/parents are advised to ensure they have suitable insurance if required.

13. Equipment & Attire

Players are expected to wear suitable sports clothing and non-marking footwear.

Participation may be declined if a player is not wearing appropriate footwear, due to safety concerns.

SET Academy may provide equipment if needed, but participants are encouraged to bring their own.

14. Late Arrivals & Early Departures

Players arriving late or leaving early will not be entitled to additional coaching time or refunds.

15. Conduct of Parents/Guardians

Parents and spectators must conduct themselves respectfully towards players, coaches, and other parents.

Aggressive, disruptive, or inappropriate behaviour may result in removal from the venue.

16. Emergency Procedures

Parents/guardians must provide up-to-date emergency contact details.

In the event of an accident or medical emergency, coaches will follow standard safeguarding and first-aid procedures.

17. Amendments to Terms & Conditions

SET Academy reserves the right to update or amend these Terms & Conditions at any time.
